Booking Terms

(1) ROOM RATES – Harlem Stonegate offers 2 nightly rates for all listed rooms:

(a) Refundable Regular Rate (no discount); and (b) Non-Refundable Rate (10% off Regular rate).

Rates are based on 1-2 people per room, per night and includes a full gourmet breakfast; and daily light housekeeping for multi-day stays. We reserve the right to change our rates.

(2) ROOM OCCUPANCY

Stonegate Room (1-2 people + 1):

• 2 people + 1 adult aged 13+; add 1 twin bed @ $75/night; or
• 2 people + 1 child aged 3 -13; add 1 cot @ $35/night; or
• 2 people + 1 infant aged < 3; add 1 travel crib @ $5/night

Hayfield Room (1-2 people +1; cozy accommodations):

• 2 people + 1 adult aged 13+; add 1 twin bed @ $75/night; or
• 2 people + 1 child aged 3 -13; add 1 cot @ $35/night; or
• 2 people + 1 infant aged < 3; add 1 travel crib @ $5/night

Gardenview Room (1-2 people)

(3) RESERVATIONS – To confirm a reservation, a deposit (1 night’s stay), payable at the time of booking is required. If a reservation is made through Booking.com or Expedia, guests will be contacted by Harlem Stonegate directly. For reservations longer than one night, the remaining balance including any incidentals are due before departure.

(4) EXTRAS – Additional services may be purchased or requested while making a reservation or by contacting Harlem Stonegate prior to guest arrival. Items requested are subject to availability and any additional costs will be added to the guest balance and due before departure. Harlem Stonegate will contact a guest directly to confirm request(s).

(5) PAYMENTS – All prices are in Canadian dollars and subject to taxes and fees. Harlem Stonegate accepts the following payment types: VISA, MasterCard, American Express, Interac/Flash, Apple Pay, Google Pay, e-transfers or cash. There is a transaction fee on all credit and debit card payments, which is non-refundable.

(6) CANCELLATIONS OR CHANGES –  Information on cancellations or changes to a reservation can be found here.

(7) DIETARY RESTRICTIONS – Any dietary restrictions? Prior to guest arrival, email, leave a note in the online reservation form, or call Harlem Stonegate.

(8) ARRIVAL AND DEPARTURE – Check-in time is 16:00 – 22:00; departure is by 11:00.  Early arrival requests (before 16:00) must be made in writing and your arrival time confirmed by Harlem Stonegate. Guest arriving after 22:00, please advise us.

(9) ACCESS – Guests are provided a room key and access code to the front door upon arrival for the duration of a stay.  Lost keys will be charged at a rate of $45.00/key.

(10) WI-FI ACCESS – By using the Harlem Stonegate WI-FI Service you automatically agree to the terms and conditions of use in force at the time.

(11) PARKING – Sufficient parking is available for guests’ use.  Guest cars parked at this location are at owner’s risk.

(12) PETS – Sorry, but pets are not permitted.

(13) SMOKING – Harlem Stonegate is a smoke free environment. A cleaning fee of $150.00 will be applied to a guest’s credit card for anyone in their party who smokes or burns any substance within any buildings on the property. For safety reasons, smoking is also not permitted anywhere on the grounds except in designated smoking areas.

(14) MAINTENANCE – Guest rooms, common areas, garden, and grounds are serviced daily 11:00 – 16:00 (housekeeping, deep cleaning or general up-keep).

(15) ITEMS DAMAGED, BROKEN OR MISSING – The property and guest rooms are kept in exceptional condition but normal wear and tear does occur. Guests are responsible and liable for any breakages or damages to the premises and its furnishings / contents, including stains, spills, burns, etc.

Accidents happen. Guests shall advise Harlem Stonegate as soon as possible. It’s much easier to clean if we know what it is and act quickly.  However, if the damage requires a room to be out of service, guests will be responsible to reimburse Harlem Stonegate for any lost rentals.  We reserve the right to charge for missing items, replacement, repair or making good, if required.

(16) LIABILITY – Harlem Stonegate does not accept any liability for any damage, loss or injury to a guest or any member of their party or any vehicles or possessions, unless proven to be caused by a negligent act by staff whilst acting in the course of their employment.

(17) AMENDMENTS – We reserve the right to amend these terms and conditions at any time.
